FAQ's - Frequently Asked Questions

Over the next few months, staff and faculty will become acquainted with the new records retention schedule. There may be many questions related to our “Clean Sweep” Project and some will be related to the schedule. A log of frequently asked questions will be compiled and posted to this portion of the new web page. When there are questions related to a file/document, clarification is needed about wording or disposal method, or other issues that would benefit others please notify Lisa Plymale (x6592).

1. What is the difference between Eperm and Historic Archives?

When a record is marked to be saved Indefinite, there are two options. Only if the original article itself (i.e. College blueprints, President Investiture articles, etc) needs to be saved in its original form will the disposition be Historic Archives. All other Indefinites will be epermed.

2. What is eperm?

Eperm is scanning. Documents will be scanned and stored electronically.

3. What is the difference between Shred and Destroy?

Items that are marked Shred are records that have personally identifiable information on them, i.e. name, social security number, payroll information, benefits, and IRS information. All other records marked Destroy (after being approved for disposal if approval is needed) may be recycled.

4. What is the definition of Completion of Project Date?

This date is the signature date on the annual review form marked “Project has been completed” or on the expiring Protocol notice.
