If you haven't cleaned out your electronic files in a long time, you have probably accumulated hundreds of files. It may be more difficult to find the files you are currently working on because of the clutter. Cleaning up the electronic files on your computer is not difficult and many of the guidelines for disposing of electronic files are the same as for paper files. Please note that it is the responsibility of each department to develop an inventory of the records unique to that department (i.e., the records it createsthe Record Copy). Record Copy is defined as the most complete or official copy of the record. The record copy is almost always the original document. The only exception is a copy of an original document that the College has filed with an agency elsewhere. For example, the College files all its original property deeds in Columbus and the Portage County Recorders Office. Only a copy is maintained by the General Counsel.
